{"id":245,"date":"2008-03-14T21:50:11","date_gmt":"2008-03-14T21:50:11","guid":{"rendered":"http:\/\/parkesy.wordpress.com\/?p=261"},"modified":"2008-03-14T21:50:11","modified_gmt":"2008-03-14T21:50:11","slug":"using-site-columns-to-lookup-information-across-sites-in-sharepoint-2007","status":"publish","type":"post","link":"https:\/\/andyparkes.co.uk\/blog\/index.php\/2008\/03\/14\/using-site-columns-to-lookup-information-across-sites-in-sharepoint-2007\/","title":{"rendered":"Using Site Columns to lookup information across sites in Sharepoint 2007"},"content":{"rendered":"<p>I shared a couple of links with fellow <a target=\"_blank\" href=\"http:\/\/www.amitpro.org\" class=\"broken_link\">AMITPRO<\/a> member <a target=\"_blank\" href=\"http:\/\/www.jamescash.co.uk\">James Cash <\/a>earlier this week but thought it would also be worth a blog post as i don&#8217;t post enough about SharePoint.<\/p>\n<p>A limitation of\u00a0the previous version of Sharepoint \u00a0(WSS 2.0) when using lookup fields was that it could only lookup information on that specific site<\/p>\n<p>This was a pain if you had information that you may need to reference in different sites<\/p>\n<p>For example<\/p>\n<p>I have a site that handles call logging, a site that holds customer documentation, a site i use for billing, etc,etc<\/p>\n<p>If i needed column to store customer information (out of the box) you had to create a customer list on every site. As you can imagine when you needed to change the customer list you had to make the changes in every instance of that list<\/p>\n<p>Thankfully the latest version of SharePoint can get around this (WSS 3.0)<\/p>\n<p>In the top level site i created my customers list with all the fields i needed (name, address,tel no, etc)<\/p>\n<p>I then clicked the &#8220;site settings&#8221; option and clicked &#8220;Site Columns&#8221;<\/p>\n<p>Then create a new site column, give it a name and select the lookup option<\/p>\n<p>(Set the Group it as you see fit, i usually create my own group for columns i have created)<\/p>\n<p>Set the &#8220;get information from&#8221; field to the customer list<\/p>\n<p>Set the &#8220;In this column&#8221; field to the customer name field and save the new site column<\/p>\n<p>The list is still stored in the top-level site but any sub-sites will have access to the site column which has access to the data!<\/p>\n<p>(click the &#8220;add from existing site columns&#8221; when you want to add it to a list or library)<\/p>\n<p>This isn&#8217;t new so i&#8217;m not going to claim any credit here!<\/p>\n<p>I\u00a0also found these posts explained it well<\/p>\n<p style=\"margin:0;\" class=\"MsoNormal\"><a href=\"http:\/\/www.sharepointblogs.com\/dortiz\/archive\/2008\/01\/24\/leveraging-the-use-of-site-columns-part-i.aspx\"><font face=\"Calibri\">http:\/\/www.sharepointblogs.com\/dortiz\/archive\/2008\/01\/24\/leveraging-the-use-of-site-columns-part-i.aspx<\/font><\/a><font face=\"Calibri\"> <\/font><\/p>\n<p style=\"margin:0;\" class=\"MsoNormal\"><a href=\"http:\/\/www.sharepointblogs.com\/dortiz\/archive\/2008\/02\/27\/leveraging-the-use-of-site-columns-part-ii.aspx\"><font face=\"Calibri\">http:\/\/www.sharepointblogs.com\/dortiz\/archive\/2008\/02\/27\/leveraging-the-use-of-site-columns-part-ii.aspx<\/font><\/a><font face=\"Calibri\"> <\/font><\/p>\n<p>There is also a solution that allows you to do with without having to setup site columns <a target=\"_blank\" href=\"http:\/\/sharepointsolutions.blogspot.com\/2006\/11\/free-custom-cross-site-lookup-column.html\" class=\"broken_link\">here<\/a>\u00a0though i haven&#8217;t tried this out yet (requires sign-up)<\/p>\n<p>Hope this is of help to someone!<\/p>\n","protected":false},"excerpt":{"rendered":"<p>I shared a couple of links with fellow AMITPRO member James Cash earlier this week but thought it would also be worth a blog post as i don&#8217;t post enough about SharePoint.
